THE WORK
A global technology firm faced a significant challenge due to the high volume of Requests for Proposals (RFPs) they needed to respond to—hundreds per year. These RFPs take a lot of manual work to put together. From referencing previous proposals to pulling together past content by copying and pasting content from a large database of information, the process involved managing large datasets and required considerable time and effort to complete. O3 initiated the project by conducting a workshop to map out the firm’s RFP response journey and identify opportunities where AI could streamline the process.
THE SOLUTION
To address the challenge, a Generative AI solution was implemented to augment the work of RFP specialists. The solution focused on using AI to simplify and accelerate the process by reducing repetitive tasks. By ingesting past RFP responses, normalizing the content and creating a user experience where speed, accuracy and control of the response were prioritized, this allowed the firm to respond more quickly and effectively to RFPs, with AI handling time-consuming elements of the process. We also developed a feedback loop to continuously update the master data-set so future responses could adjust to new features and functionality within the technology or new subject matter over time.
